This policy explains how KERNL LIMITED collects, uses, and protects the personal data of Welkodia users.

1) Data controller and scope

  • Service covered: Welkodia.

2) Personal data collected

  • Account data: email address, first name, last name, and technical authentication identifiers.
  • Contact details provided by owners or pros: postal address, property address, city, country, postal code, and related contact information.
  • Organization data: workspaces, roles, invitations, members, and clients.
  • Operational data: properties, guidebooks, translated content, media, shop items, orders, and internal notes.
  • Guest data entered by the user: name, email, phone number, requests, and order notes.
  • Payment and subscription data: Stripe identifiers such as customer, subscription, checkout session, payment intent, and Connect account IDs.
  • Technical data: application logs, security signals, and analytics events.

Welkodia does not store full bank card numbers. Payments are processed by Stripe.

Welkodia does not resell personal data for advertising purposes.

3) Processing purposes

  • Creating and administering user accounts, access, and permissions.
  • Providing guidebook, shop, and order management features.
  • Running payment, billing, subscription, and transaction follow-up operations.
  • Providing user support and answering requests.
  • Preventing fraud, managing security, detecting abuse, and maintaining platform integrity.
  • Sending, where relevant, postal communications related to the property, listing, online visibility, or services useful for managing a short-term rental.
  • Measuring platform usage and improving performance.

4) Legal bases

  • Performance of a contract for account creation, access to the service, orders, and payments.
  • Legitimate interest for security, fraud prevention, maintenance, analytics, and product improvement.
  • Legitimate interest for postal communications related to properties, online visibility, and services useful for managing a short-term rental, subject to the right to object.
  • Legal obligation for accounting, tax, and competent authority requests.
  • Consent only where required.

5) Postal communications and partner offers

As part of using Welkodia, we may use contact details provided by property owners, including their postal address, to send them information related to their property, listing, online visibility, or services useful for managing a short-term rental.

These communications may include concierge services, cleaning, photography, property management, listing optimization, direct booking, or other services related to short-term rentals.

Postal communications may be sent on the basis of our legitimate interest, provided that the user has been informed of this use and can object simply and free of charge at any time.

Unless the user has specifically agreed, Welkodia does not sell or directly transmit personal contact details to commercial partners. When a partner campaign is carried out, the mailing is operated by Welkodia or by a service provider mandated by Welkodia. The partner receives the user's contact details only if the user voluntarily replies, asks to be contacted, or gives explicit consent to that transfer.

The user may object at any time to the use of their postal address for commercial prospecting by emailing contact@welkodia.com or from their user account when a dedicated option is available.

6) Recipients and processors

  • Application hosting: Vercel.
  • Database, authentication, and storage: Supabase.
  • Payments and subscriptions: Stripe / Stripe Connect.
  • Transactional email: Resend.
  • Social sign-in when enabled: Google Sign-In.

Data is shared only with service providers necessary to operate the service or where required by law.

To provide certain artificial intelligence features, including Kodia, we may transmit messages, guidebook information, property data, and the elements necessary to generate responses to specialized technical providers, including Groq for response generation and Google/Gemini for creating embeddings and semantic search. These providers process the data according to their applicable terms and, where available, according to our contractual instructions. We prioritize professional offerings that do not reuse prompts, responses, or customer content to train generic models without instruction or authorization from us. Some data may nevertheless be temporarily retained for security, abuse prevention, troubleshooting, or operation of the service. These processing operations may involve transfers outside the European Economic Area, governed by appropriate safeguards.

7) International transfers

Depending on the services used, some data may be processed outside the European Union or the EEA, including in the United States. Where required, Welkodia implements appropriate safeguards.

8) Retention periods

  • Account and workspace data is kept for the lifetime of the account and then deleted or anonymized within a reasonable period, unless a legal obligation applies.
  • Order, billing, and payment data is retained for the period required by applicable accounting and tax obligations.
  • Technical and security logs are retained for limited periods proportionate to security and audit needs.
  • Analytics data is retained for statistical and service improvement purposes with limited retention.

9) Cookies and trackers

Welkodia may use cookies that are strictly necessary for operating the service, providing security, and storing technical preferences. Non-essential cookies, when enabled, are subject to consent where required by law.

10) Security

Welkodia implements reasonable technical and organizational measures to protect personal data. Because no measure is infallible, you remain responsible for the data you choose to publish on the platform.

11) Your rights

Depending on the applicable law, you may have rights of access, rectification, erasure, restriction, objection, and portability.

You may also define instructions regarding your data after death where local law provides for it.

12) User roles

When services are offered to guests, property owners and pros may process the data of their own clients or guests. Depending on the situation, they act as controllers for their own business obligations, while Welkodia mainly acts as the platform publisher and technical service provider.

Welkodia may update this policy at any time. The version published on this page prevails and takes effect from its update date.
